Tip 766: Map an address

Outlook 2010 uses Bing maps to map address but you can change it to other popular mapping services by editing the registry.

Open the registry editor and browse to
HKEY_CURRENT_USER\Software\Microsoft\Office\14.0\Outlook\Options\General

Right click and choose New, String Value. Enter MapScriptURL for the string value name. Double click on the MapScriptURL key to open it and enter http://www.outlook-tips.net/howto/displaymap.htm

Tip 765: Junk Email Folder Icon

Over the last 6 weeks or so, I've had/seen several questions about the junk mail folder icon and didn't understand why they insisted the icon was wrong...  I do now.

“My junk email folder is blocked, how do I unblock it?  Nothing goes into the  folder automatically.  There is a small red circle with a diagonal line thru it on the folder symbol.  Outlook 2007.”

This is the correct icon for the folder and doesn’t the junk mail filter.

Tip 764: Social Connector & Instant Search

If you installed Outlook’s Social connector and the email tabs and the attachments tabs always display "There are no items to show in this view" when for contacts who should have a lot of email or attachments, do you have Instant Search installed and enabled?

In order to see the messages, appointments, and attachments associated with a contact, you need to use Instant search to index your mailboxes.

Tip 763: Office 2010 Click-to-Run Headaches

If you purchased Office 2010 and want to use Outlook to send mail from other applications (like QuickBooks), use add-ins or sync with a smartphone, you do not want the click-to-run installation. 

Click-to-Run installs in a virtual space. This is great because it allows you to have two Outlook’s installed and want to try Office 2010 but add-ins and sync software won’t work with it. 

If you installed Office 2010 Click-to-Run and it does not meet your needs, you can uninstall It and install Office 2010 by using a method other than Click-to-Run. To do this, follow these steps:

  • Uninstall the Click-to-Run version of Office 2010 from Control Panel.
  • Visit the site where you purchased Office 2010, and sign in with the same Live ID that you used when you first purchased Office 2010.
  • Click the My Account link at the top of the home page to access your Office downloads.
  • Click the Download button for the suite that you purchased, and then click the Advanced Options link under the Download Now button. There is a version of Office 2010 listed that is not Click-to-Run and that does not require an available Q: drive.

Tip 762: Facebook Users Beware!

When the Facebook provider is installed, status updates are visible based on the kind of Public Search settings selected in the Facebook profile.

Even people who do not use Outlook or the social connector need to check their Facebook settings, otherwise people they send email to may be able to see their profile picture or feeds!

If a person has made their profile:

  • Publicly searchable: you will be able to see their status in the social connector even if you are not friends.
  • Not searchable: no status information is returned from Facebook.
  • Searchable to friends only but their email address is not visible to friends: no status information is returned from Facebook even if you are a friend.
  • Searchable to friends only AND their email address is visible to friends: then that person's status information is returned from Facebook if you are a friend.

Remember: The address associated with Facebook needs to be the same email address used for email (or on the contact record in Outlook).

If the email address used to send messages is not registered with the social network, the user’s activities will not appear in the people pane. If you want your activities to appear for your colleagues at work, add your work email address as an additional email address under account settings for the social network. Or, to insure business collegues can’t see your information, don’t associate your work address with your Facebook profile.

Tip 761: Outlook 2010 Dual Time Zone bug

When you use Outlook 2010’s dual time zone feature and one time zone uses DST and the other does not, when you swap zones the Use DST checkbox in Window’s Date and Time applet may be unchecked when the time zone that uses DST is active. Because Outlook 2010 doesn’t display the Use DST checkbox, you won’t know this unless you happen to notice the computer’s time is off an hour. 

Until Microsoft fixes this, you’ll need to open the Date and Time applet in Control Panel and enable Use DST  after swapping time zones.

Tip 760: Facebook and Live Providers

The long awaited Facebook provider for Outlook’s Social Connector is now available, along with a provider for Live Messenger. Outlook 2003 and 2007 users can download the latest social connector  – Windows Update will update the social connector in Outlook 2010 (or install the July 13 update).

Tip 759: Quick Click Reminders

Quick Click flags (and flag for follow up rules) use the reminder settings for Tasks. If you have the option enabled to set reminders on Tasks with due dates, quick clicks (for Today, Tomorrow, This week, or Next week)  will have a reminder set. If you aren’t automatically setting reminders on tasks, reminders won’t be set when you flag messages. Flags with no due date don’t have reminders.

In Outlook 2007 (and earlier), Task options are set in Tools, Options, Preferences, Task Options. (Reminder sounds are in Other tab, Advanced options).

In Outlook 2010, go to File, Options, Tasks.

Tip 758: Personal folders backup for Outlook 2010

Users can enable the Personal Folders Backup tool in Outlook 2010 by editing a registry key.

HKEY_CURRENT_USER\Software\Microsoft\Office\ Outlook\Addins\Microsoft.OutlookBackup.1
DWORD: RequireShutdownNotification
Value: 1

Note that the default pst location for new profiles is in the My Documents folders, making it easy to copy the personal folders without using the backup tool.

Tip 757: Calendar Printing Assistant v.2

There is an update available for the Calendar Printing Assistant so that it will work with Outlook 2010 (the installer says its for Outlook 2007, but it lies, it works with both. :)). In my (very) quick look, there doesn't appear to be any changes, except for Outlook 2010 support.
